Western Mountains Property Management

Our full agency management relieves the Board of Directors of much of the need to devote personal attention to operating and maintaining an Association. Our goal as your managing agent is to provide continuity and professionalism in the operation of the Association and serve as a stabilizing force within your community.  Western Mountains Property Management’s responsibilities fall within three categories: fiscal, physical and administrative.

FISCAL

  1. Prepare and recommend annual operating budgets to the Board of Directors
  2. Maintain reserve account and project cash flow
  3. Prepare “Capital Improvement” plan for Board consideration
  4. Collection of assessments and other income. (billing, posting, recording, deposits, etc.)
  5. Maintain property and Homeowner ledgers
  6. Establish accounting procedures and banking accounts
  7. Prepare financial statements of income and expense for Board of Directors

PHYSICAL

Maintain physical plant per the CC&R’s and By-lays and at Board direction

  1. Develop an annual operating plan for repair and maintenance
  2. 24 Hour emergency response as required
  3. Negotiate and prepare maintenance service contracts
  4. Coordinate and supervise the work of all contractors
  5. Regular scheduled inspections of the property to monitor the operations and needs of the community
  6. Monthly or quarterly reports to the Board of Directors as required
  7. Available holiday, weekend and evening maintenance schedules to meet the needs of the community

ADMINISTRATIVE

  1. Attend all regularly scheduled Board of Directors meetings and annual membership meetings
  2. Prepare and mail meeting notices, meeting agendas and announcements
  3. Maintain files of all Association business at the Managers office
  4. Maintain insurance coverage on behalf of the Association
  5. Defacto member of Association sub-committees as required
  6. Maintain perpetual ownership listing based on receipt of advice from owners or title companies
  7. Handle all communications with homeowners and vender/contractors
